It's not defined yet! There's a block booking of double rooms. There is a fixed sponsorship budget. There are travel arrangements in place.

Emails for accepted sponsors, informing them how to sort travel arrangements will start going out this evening (thanks to X-Fade for help here).

It's not defined yet how the block booked rooms will be allocated. I think, though this'll need confirming with Nokia, that we'll do:

• A separate email asking if you are willing to share a room and, if so, if you have a preference with someone else who has also been sponsored.
• First-come first served on the pre-arranged beds.
• If you don't get a block-booked bed, you can claim back to the value of that bed for the appropriate number of nights.

Remember: only two days left to apply for sponsorship if you want it!

Covering the nights already booked for single participants sharing rooms is simple. Everything else is plain overhead. We can only pay expenses against an invoice.

I don't think we need to cover any night before Thursday and after Saturday except for extreme flight cases. This doesn't cover extra tourism days. Hotels are used to issue separate invoices for partners and other extras not covered by corporate travel policies, so you could use this resort if really needed.

Hopefully all this makes sense to you.

Yeah well my fault there, I stuck that section in to try to get an idea of how many people were looking for rooms and of what sort (if people want to stay in a hostel then more can be sponsored, if everyone wants to stay on his/her own then fewer can, if some are happy to share then we're somewhere in between).

However, not many people have filled in the section yet, so it's probably pretty hard for the Council to make any sense of things.

And to make it worse I've added another section for people to say where they have actually booked.

I'd be tempted to send out an email to those people who have asked for sponsorship asking them to get on and submit their accommodation requirements.

My wife will be with me (as I'm coming back from Europe) so I need a double or a twin, but am more than happy to just receive half the cost of the room as that will be the same per capita cost as for the other sponsored members who are sharing a room.

Anyway, we'll just have to see how things work out I guess

I am not sponsored and I am looking for roomies to save some hard-earned dough, so I added myself to the accomodations page.

I'm shooting for no more than about 60 EUR per night. Would it be possible to stay at the same hotel as the sponsored participants and still get the group rate even if not sponsored?

Alternatively, anyone willing to share some other place (park benches excluded ;-) ?

The group rate is actually the general rate of a double room occupied by 2 sponsored participants, I believe.

I assumed the group rate was discounted, my bad for not cross-checking.
